Our Process

Support through every stage

Navigating the intricacies of any construction project can be overwhelming. We’ve carefully curated our process, aligned with the RIBA work stages. Ensuring that your project receives diligent and efficient handling. The RIBA sequence, tailored for UK construction projects, guides every step; from initial preparation to client handover and beyond. Our expert team allows seamless integration of these stages, facilitating a balanced flow of work.

The RIBA Stages

The RIBA Plan of Work organises the entire project journey, spanning from initial briefing to construction. Consisting of several distinct stages, it provides a robust framework for us as MEP consultants, to ensure your project remains on track, with your needs at the forefront.

Stage 0 – Strategic Definition

Following written acceptance of our Fee Proposal it’s essential for us to engage with you as our client to thoroughly assess the project’s feasibility. This usually takes place before any design processes are initiated; our focus is to understand your requirements and devise strategies to achieve optimum outcomes. We conduct comprehensive background research, evaluate project risks and budget before formulating a business case.

Stage 1 – Preparation and Brief

Upon finalising the brief and documenting it, you, as our client will receive valuable insight into the project vision and objectives. This comprehensive MEP overview includes detailed information of the projected outcomes, considering things like spatial requirements, sustainability and budget. Once we’ve established a clear timeline and received your client approval, we’ll move on to the design stage.

Stage 2 – Concept Design

As we move forward, we will tie up any loose ends from the initial stages of the project and liaise with the architects for additional project considerations. Designs commence taking into consideration all the elements from the brief. This stage can occasionally overlap with RIBA process stage 3 depending on project deliverables (developed design). Accuracy is paramount at this stage, so you can trust us to handle the details.

Stage 3 – Spatial Coordination

At this point the practical considerations will be assessed. Aspects like budgets and sustainability elements will be revisited. Our project management team are equipped to guide you through this intricate process, ensuring all building regulations are met. That’s not all, we here to help you with construction methods and preparation of planning drawings and submitting planning applications.

Stage 4 – Technical Design

As we enter RIBA stage 4, the technical design is assessed and final information is assembled before the tender document is put together for review. As MEP consultants we can procure equipment and provide detailed 3D modelling amongst other services.

The issue of tender information will typically fall at either stage 3 or stage 4 where the client will be supplied a pack of information consisting of a detailed specification, drawings, quotes from manufacturers and technical information. This will then be used as a benchmark for the tendering contractors to quote against providing the client with like for like tender returns.

At this juncture, we offer optional services – a small number of our clients choose to have us handle the project up to the tender stage, allowing contractors to take over the project journey. However, most of our clients opt to retain our services throughout the entire construction process and we often refer to this stage as ‘Post Tender Works’.

Stage 5 – Construction

During this critical stage of construction, our focus remains at the forefront of any construction project with absolute accuracy based on the provided drawings. At Prospero, we offer a comprehensive suite of services to facilitate your project’s smooth advancement:

  1. MEP Contractors submissions analysis and advice: We evaluate and provide expert guidance on submissions from mechanical and electrical contractors.
  2. Active participation in regular meetings: As outlined in our fee proposal, we actively attend and contribute to project meetings, ensuring accurate project alignment and effective communication.
  3. Efficient administration duties: We handle administrative tasks related to design and installation queries, streamlining processes for precise execution.
  4. Thorough final inspection and ‘Snagging’ schedule: Our team conducts rigorous inspections, identifying any remaining issues and creating a detailed snagging schedule for prompt resolution.
  5. Insightful comments on interim valuations: We provide valuable feedback on interim valuations, helping you make informed decisions throughout the construction journey.
  6. Comprehensive review of certification and commissioning data: Prospero ensures that all certification and commissioning data aligns with project requirements.
  7. Thorough examination of operating and maintenance manuals: We meticulously review the ‘as installed’ drawings in operating and maintenance manuals, ensuring accuracy and completeness.

Stage 6 - 7 – Handover & Use

Stage 6 of the process marks construction completion and project handover to the client. The project will undergo review of any building services certification and any snagging issues will be addressed and resolved. If there are any agreed aftercare arrangements, these will commence.

At the final stage, the building is fully operational and in use which is the final step in the Plan of Work process.
